Videography FAQ’s

  • How far ahead should we book your service?

We recommend booking as soon as you have your wedding date and venue secured! Popular dates can fill up quickly, especially during peak wedding season.

Most couples book with us 9–18 months in advance, but there’s no such thing as booking too early. The earlier you reserve your date, the better chance you’ll have of securing the services and team you want.

Planning on a shorter timeline? Don’t worry! We regularly accommodate weddings booked just a few months—or sometimes even a few weeks—in advance, depending on availability.

The best thing to do is simply reach out and check your date. If we’re available, we’d love to be part of your wedding!

  • Do you have a contract to sign?

Yes! Every wedding we book includes a contract. We believe everything should be clear and in writing so you know exactly what to expect from us.

Your contract outlines the services you’ve selected, pricing, payment details, event information, and other important terms for your wedding day. Once the contract is signed and the required retainer is paid, your date is officially reserved with HeadTrauma Entertainment.

No surprises, no confusing fine print—just a clear agreement designed to protect both you and our team and give you peace of mind throughout the planning process.

  • Is there a deposit to reserve my date?

Yes! A deposit and signed contract are required to officially reserve your wedding date. Until both are completed, your date will remain available for other couples.

Your deposit is applied toward the total cost of your package—not an additional fee. Once everything is completed, your date is locked in and you can check one more thing off your wedding planning list!

Have questions before booking? We’re always happy to walk you through the process and make sure you feel comfortable before making anything official.

  • Do you have payment plans?

Absolutely! We know weddings can come with a lot of expenses, so we try to make paying for your services as easy and flexible as possible.

After your deposit is paid and your date is reserved, you can make payments toward your remaining balance at any time leading up to your wedding. Whether you prefer making smaller payments throughout the planning process or paying the remaining balance closer to your date, you can choose what works best for your budget.

Our goal is to make the process simple, stress-free, and one less thing you have to worry about while planning your wedding.

  • What forms of payment do you take?

We like to keep things simple and convenient! We accept cash, checks, and all major credit and debit cards.

Whether you're paying your deposit, making payments along the way, or paying your remaining balance, you can choose whichever payment method works best for you.

Have a question about making a payment? Just reach out—we’re always happy to help!

  • Do you have backup equipment in case something would happen?

Absolutely! We come prepared for the unexpected. Our photographers have backup equipment available in case a camera, lens, or other essential piece of equipment experiences an issue during your wedding day.

We also have backup videographers available in case of an emergency. If your scheduled photographer becomes sick, is involved in an accident, or experiences another serious emergency that prevents them from being there, our team will work to have another qualified photographer step in.

Your wedding only happens once, so having a backup plan for both our equipment and our team is extremely important to us.

You enjoy your day—we’ll worry about being prepared for the unexpected.

  • How do you organize the order of events for the day of the wedding?

Before your wedding, we’ll work with you to create a detailed master timeline for your entire day. This helps us know exactly where we need to be and when, while making sure we’re prepared to capture all of the moments that matter most to you.

Your timeline can include everything from getting ready and first looks to the ceremony, family portraits, wedding party photos, grand entrance, first dances, speeches, cake cutting, sunset photos, and reception events.

We’ll also coordinate with your DJ, videographer, coordinator, venue, and other vendors to help keep everyone on the same page throughout the day.

And because weddings don’t always run exactly according to schedule, we’re prepared to adjust when needed without adding unnecessary stress.

Our goal is simple: keep your day flowing smoothly while making sure you can actually enjoy it—not spend your wedding worrying about what’s supposed to happen next.

  • What is a highlight video?

A highlight video is a beautifully edited film that brings together the best moments from your entire wedding day into one unforgettable story. From getting ready and those final moments before the ceremony to your vows, first dance, speeches, and celebration on the dance floor, we capture it all.

Every one of our videography packages includes all-day coverage, meaning we’re there from the time you begin getting ready through the end of your reception.

Your highlight film takes the most meaningful, emotional, and fun moments from everything we capture and brings them together into a cinematic video you can relive for years to come.

  • What happens if there is an emergency with my videographer. (They get sick, Car accident, Etc.)

While we hope it never happens, we believe in being prepared for the unexpected.

One of the advantages of booking with HeadTrauma Entertainment is that you’re not relying on just one individual photographer. We have multiple videographers on our team, along with a network of trusted professional photographers we can turn to if needed.

If your scheduled photographer becomes sick, is involved in an accident, or experiences another emergency that prevents them from photographing your wedding, we’ll immediately work to have a qualified replacement step in.

Your wedding plans, timeline, photography preferences, and important details are kept organized so that if an emergency does happen, we can make the transition as smooth as possible without putting that stress on you.

Your wedding only happens once, and having a backup plan is part of being prepared to protect it.

  • Will the videographer be in the way of the guests?

Not at all! Our videographers are experienced in capturing all the important moments of your wedding day while remaining as unobtrusive as possible. We carefully position ourselves to get the best shots without blocking your guests’ view or becoming a distraction during your ceremony or reception.

During key moments, we use multiple camera angles and strategically placed equipment, allowing us to capture everything while minimizing movement around the room.

Our goal is simple: you enjoy your wedding, your guests enjoy the celebration, and we capture the memories without getting in the way.

  • How long is a highlight video?

Our wedding highlight films are typically 4–7 minutes long, thoughtfully edited to showcase the best and most meaningful moments from throughout your wedding day. From getting ready and the ceremony to your first dance, speeches, and unforgettable moments on the dance floor, we create a film that lets you experience the emotion and energy of your day all over again.

We know how exciting it is to relive your wedding day, which is why we pride ourselves on a fast turnaround time without sacrificing quality.

Your wedding films will be professionally edited, finalized, and delivered to you within 6–10 weeks following your wedding date.

Every wedding is carefully edited to ensure your finished films beautifully capture the moments, emotions, and memories that made your day unforgettable..

  • Do you charge for travel?

For most weddings within our normal service area, travel is included in your photography package at no additional charge.

For weddings located farther outside our standard service area, a travel fee may apply depending on the distance, location, and any additional travel requirements. If a travel fee is necessary, we’ll discuss it with you before you book so you know exactly what to expect.
