DJ FAQ’s

  • How far ahead should we book your service?

We recommend booking as soon as you have your wedding date and venue secured! Popular dates can fill up quickly, especially during peak wedding season.

Most couples book with us 9–18 months in advance, but there’s no such thing as booking too early. The earlier you reserve your date, the better chance you’ll have of securing the services and team you want.

Planning on a shorter timeline? Don’t worry! We regularly accommodate weddings booked just a few months—or sometimes even a few weeks—in advance, depending on availability.

The best thing to do is simply reach out and check your date. If we’re available, we’d love to be part of your wedding!

  • Will there be one DJ or two?

For most weddings, one professional DJ is all you need! Your DJ will handle your music, announcements, timeline, and help keep everything flowing smoothly from the first song to the last dance.

For larger weddings, more complex setups, or certain packages and add-ons, we may provide an additional team member to assist with setup, coordination, or production.

Either way, we’ll make sure your wedding is properly staffed so you can enjoy your day without worrying about what’s happening behind the DJ booth.

  • Do you have a contract to sign?

Yes! Every wedding we book includes a contract. We believe everything should be clear and in writing so you know exactly what to expect from us.

Your contract outlines the services you’ve selected, pricing, payment details, event information, and other important terms for your wedding day. Once the contract is signed and the required retainer is paid, your date is officially reserved with HeadTrauma Entertainment.

No surprises, no confusing fine print—just a clear agreement designed to protect both you and our team and give you peace of mind throughout the planning process.

  • Is there a deposit to reserve my date?

Yes! A deposit and signed contract are required to officially reserve your wedding date. Until both are completed, your date will remain available for other couples.

Your deposit is applied toward the total cost of your package—not an additional fee. Once everything is completed, your date is locked in and you can check one more thing off your wedding planning list!

Have questions before booking? We’re always happy to walk you through the process and make sure you feel comfortable before making anything official.

  • Do you have payment plans?

Absolutely! We know weddings can come with a lot of expenses, so we try to make paying for your services as easy and flexible as possible.

After your deposit is paid and your date is reserved, you can make payments toward your remaining balance at any time leading up to your wedding. Whether you prefer making smaller payments throughout the planning process or paying the remaining balance closer to your date, you can choose what works best for your budget.

Our goal is to make the process simple, stress-free, and one less thing you have to worry about while planning your wedding.

  • What forms of payment do you take?

We like to keep things simple and convenient! We accept cash, checks, and all major credit and debit cards.

Whether you're paying your deposit, making payments along the way, or paying your remaining balance, you can choose whichever payment method works best for you.

Have a question about making a payment? Just reach out—we’re always happy to help!

  • Do you have backup equipment in case something would happen?

Absolutely! We always come prepared. Our DJs carry backup equipment so that if something unexpected happens, we can quickly address the issue and keep your wedding moving.

We understand how important your wedding day is, and equipment problems shouldn't be something you have to worry about. From our sound system to the essential equipment needed to keep the party going, we have backup plans in place for the unexpected.

Our goal is simple: you enjoy your wedding—we'll worry about the equipment.

  • Do you have a big selection of music?

Absolutely! Our DJs have access to a huge selection of music spanning just about every genre and generation—from the classics your grandparents love to today’s biggest hits and everything in between.

During the planning process, we’ll learn your music tastes, must-play songs, special requests, and, just as importantly, your do-not-play list. We’ll use that information along with our experience reading the dance floor to create a soundtrack that feels like your wedding.

Have a special song or something a little harder to find? Just let us know ahead of time and we’ll do our best to have it ready for your big day!

  • How do you organize the order of events for the day of the wedding?

e work with you before the wedding to build a detailed timeline for all the important moments of your day. This includes your introductions, first dance, parent dances, speeches, dinner, cake cutting, special traditions, open dancing, and anything else you have planned.

We’ll also communicate with your venue, coordinator, photographer, videographer, and other vendors to help make sure everyone is on the same page.

On the wedding day, your DJ does much more than play music. We’ll make announcements, help guide guests through the evening, and keep an eye on the timeline while adjusting when needed—because weddings don't always run exactly on schedule!

You shouldn't have to spend your reception watching the clock. Enjoy your wedding and let us help keep everything moving.

  • Can we have any special songs play that are personally recorded?

Absolutely! If you have a personally recorded song, special message, custom audio, or another meaningful recording, we’d be happy to incorporate it into your wedding day.

Just send the recording to us ahead of time so we can make sure everything is ready and working properly before your wedding. Whether it’s a song recorded just for the two of you, a message from someone special, or a unique surprise for your guests, we’ll work with you to make sure it’s played at the perfect moment.

It’s your wedding, and we love helping you make it personal!

  • What happens if there is an emergency with my DJ. (They get sick, Car accident, Etc.)

One of the biggest advantages of booking with HeadTrauma Entertainment is that you're booking a team—not just one individual DJ.

If your scheduled DJ experiences an unexpected emergency, such as an illness, car accident, or another situation that prevents them from being at your wedding, we have other professional DJs on our team who can step in.

Your wedding information, timeline, music preferences, special songs, and other important details are kept organized so a replacement DJ can get up to speed quickly and provide the experience you've planned.

While emergencies are rare, we believe in being prepared for them. Your wedding shouldn't come to a stop because something unexpected happens to us.

  • How do you keep everything organized with our music and formalities?

nce you book with us, you'll receive access to our online planning portal, where you can organize all the important details for your wedding in one convenient place.

You'll be able to provide your music requests, must-play songs, do-not-play songs, wedding party information, special dances, formalities, timeline details, and other important notes for your DJ.

Before your wedding, we'll review everything with you to make sure we understand exactly what you have planned and answer any last-minute questions. Your DJ will have all of this information available for your wedding day so nothing important is left to memory.

You tell us what you want—we'll make sure it's organized and ready when the big day arrives.

  • Do you charge for travel?

For most weddings within our normal service area, travel is included in your package price with no additional travel fee.

For weddings located farther outside our standard service area, an additional travel fee may apply depending on the location and distance. If a travel fee is required, we'll let you know before you book so there are no unexpected charges later.

Not sure if your venue is within our service area? Send us the venue name and location, and we'll be happy to check!

  • What time will the DJ arrive?

Your DJ will typically arrive about 2 hours before your scheduled start time. This gives us plenty of time to unload, set up our equipment, complete sound checks, and make sure everything is ready before your guests arrive.

For weddings with larger or more complex setups, we may arrive even earlier if needed.

And don’t worry—setup time does not count toward the DJ time included in your package. Your contracted time begins at the scheduled start time, not when we arrive to set up.

By the time your celebration begins, everything will be set up, tested, and ready to go!

  • What do you need the facility to provide for the DJ

We bring all of the DJ equipment needed for your wedding, so there isn't much your venue needs to provide!

We typically just need a safe, designated space for the DJ setup, access to a reliable power source nearby, and a table for our equipment.  We’ll handle the sound system, speakers, microphones, lighting included with your package, and all of the necessary DJ equipment.

If your venue has any special requirements, restrictions, or unique setup conditions, just let us know ahead of time so we can plan accordingly.

Our goal is to make things as easy as possible for you and your venue.

  • Do we have to pay extra for setup and teardown?

No! Setup and teardown are included in your package at no additional charge.

Your DJ will typically arrive about 2 hours before your scheduled start time to unload, set up, test the equipment, and make sure everything is ready to go. After your event, we’ll handle tearing down and packing up all of our equipment as well.

You’re paying for your celebration—not the time it takes us to set up and tear down. There are no surprise setup or teardown fees added to your package.

  • Can we choose the music we want?

Absolutely—it’s your wedding, and your music should sound like you!

During the planning process, you’ll be able to choose your must-play songs, special dances, favorite artists and genres, and your do-not-play list through our online planning portal. You can be as involved in the music selection as you’d like.

You can give us a detailed playlist, a handful of favorites and let us take it from there, or anything in between. Your DJ will use your preferences while also reading the dance floor and choosing songs that keep your guests dancing.

You give us your vision, and we’ll build the soundtrack around it.

  • How do you handle requests?

We’re happy to take requests from you and your guests! Your preferences always come first, so before your wedding, we’ll go over your must-play songs, favorite music, and most importantly, your do-not-play list.

During the reception, guests are welcome to make requests, but that doesn’t mean every requested song will automatically be played. Your DJ will use their experience to decide whether a request fits the atmosphere, works with what’s currently happening on the dance floor, and follows the music preferences you’ve given us.

If a guest requests something on your do-not-play list or something that goes against what you’ve asked for, we won’t play it.

At the end of the day, it’s your wedding—not your guests’ playlist.

  • Can we observe an event?

Because most of the events we DJ are private weddings and celebrations, we don't allow prospective clients to attend another couple's event. We want to respect the privacy of every couple and their guests—and we'll give your wedding that same respect.

We’re still happy to show you what you can expect! You can check out videos, photos, reviews, and examples from past events, and we're always available to answer questions about our DJs, equipment, and what the experience is like.

Every wedding is different, so rather than judging us based on someone else's music choices and vision, we'll focus on creating an experience that's built specifically around you and your wedding.

  • Why should you choose HeadTrauma Entertainment?

Because with HeadTrauma Entertainment, you're getting much more than just a DJ—or any other wedding service. You're getting a team that's invested in your entire wedding experience.
